Part time- Animal Adoption Coordinator Job Posting

The Prince George Humane Society is currently seeking a highly organized and passionate Animal Adoption Coordinator to join our team in a part time capacity!

The Adoption Coordinator is responsible for overseeing all adoption-related functions at the Adoption and Humane Education Center. Primary duties include oversight of adoption process on all platforms - email, phone and in person, oversight assistance with all guest services, assistance in daily animal care operations, communication assistance with supporting veterinarians, record keeping, assistance with animal intake and assistance with volunteer communication and oversight.

 

The Adoption Coordinator serves as a representative of the organization to all Adoption Center guests including but not limited to potential adopters and volunteers and must answer questions and provide assistance as needed while maintaining a positive and professional demeanor. The Adoption Coordinator will treat the guests, staff, and animals of the Prince George Humane Society with respect and maintain a high standard of care as established by the organization.

RESPONSIBILITIES

Responsibilities will include, but are not limited to:

Guest Services & Community Relationships 

  • Greet and provide helpful, pleasant, and tailored customer service to all guests based on the reason for their visit. Answer the phone and respond to email inquiries in a timely manner.

  • Proactively solve customer problems as needed. Ensure proper safety policies and procedures are followed by volunteers and guests.

  • Establish and maintain a strong, professional relationship with our adopters, rescue partners, veterinarians, volunteers, and donors.

 

Animal Adoptions and Promotion 

  • Participate in daily rounds to support the efficient movement of animals into and through foster and adoptions.

  • Post- adoption follow- up communication needs to occur within the first week of adoption and correspondence noted on the inside of each file. Any behavioural concerns need to be directed to the animal behaviour team for advice or resources.

  • Participate in walkthroughs when public/ volunteers are in the shelter to ensure animal safety and procedures are being followed and any questions are answered.

  • Duties may/will include attending public events and representing the Prince George Humane Society during your regular work hours.

  • Cultivate positive and productive relationships with staff, foster families and members of the public to support positive animal outcomes.

  • Develop and implement animal promotions designed to facilitate adoptions.

  • Coordinate adoption events and assist with special events as needed.

  • Maintain clear and organized schedule of adoption meetings with interested parties.

  • Review and approve adoption applications and call applicants to discuss the adoption process. Use the stamp on front page to records correspondence and any notes. Conduct reference checks when needed on potential adopters and notify them the same day.

  • Assist potential adopters in determining a good animal match. Oversee the meeting process to ensure safety of animal and guests.

 

POSITION REQUIREMENTS

  • Demonstrates exceptional client services skills; solution-focused problem-solver.

  • Demonstrates exceptional skills in supporting programs.

  • Passion for volunteer management and engagement; proven history of building and maintaining positive and productive relationships with internal and external stakeholders.

  • Demonstrate ability to meet deadlines, juggle multiple and competing priorities, and maintain a positive, engaging atmosphere.

  • Ability to adjust quickly, calmly, and efficiently to changes in direction and re-prioritize work.

  • Demonstrates care and concern for the safety and well-being of self, animals, and others, especially during stressful situations.

  • Ability to manage physical requirements of the position for extended periods of time including lifting and restraining of large animals, lifting of large bags of pet food as well as scrubbing floors, cages, windows etc.

  • Excellent written and oral communication skills.

  • Excellent interpersonal skills; authentic team player.

  • Excellent time management skills with the ability to prioritize multiple projects and be responsive to requests.

  • Some animal handling skills preferred.

  • Valid driver’s license

  • Expected to work Saturdays and some evenings when needed.

 

QUALIFICATIONS

Work Experience:

•             1-3 years in customer care preferred

•             1-3 years experience in administration preferred

•             1-3 years in animal welfare or animal care field preferred

•             An equivalent number of years of experience and/or education may be considered

HOURS OF WORK:

Tuesday to Saturday: 11:00am- 4:00pm

May need to work additional hours and afterhours if required
